TechnologyWorkflow EngineWhat Car Terminals Need from a Terminal Operating System

WGS InsightsOctober 2, 2026

A Terminal Operating System can tell a terminal what cargo it has. At a car terminal, the more useful question is whether each vehicle is in the right place, in the right condition, and ready for its next move.

That distinction matters. A vehicle may pass through vessel discharge, inspection, yard placement, relocation, loading, and gate exit. Each handoff changes what the team needs to know. If the physical move happens before the digital record catches up, even a detailed dashboard can show an outdated picture.

For automotive terminals, a TOS should do more than digitize a checklist. It should connect the vehicle journey.

Why vehicle-level visibility is different

The vehicle identification number (VIN) provides a unique reference for each car. But a VIN alone is not an operational view. Teams also need to know where the vehicle is, whether it has been inspected, which movement is planned next, and whether an exception needs attention.

Consider a vehicle that is moved to a different yard position after inspection. If its new location is recorded in one tool but not another, the next team may spend time searching or working from the wrong instruction. The challenge is not a lack of data; it is keeping the data aligned with work on the ground.

Four workflows a Terminal Operating System should connect

A vehicle-centric approach brings the most important handoffs into a shared process:

  • Receiving and inspection. Identify the vehicle, record its arrival, and capture inspection details against the correct VIN.
  • Yard placement and relocation. Assign a location, record moves between slots, and keep the vehicle’s position current.
  • Vessel and gate movements. Coordinate loading and discharge with entry and exit activity so the next move is visible to the teams involved.
  • Reporting and administration. Connect operational records to dashboards, audit trails, billing workflows, and relevant external systems.

These functions are most useful when they share a consistent vehicle record. Otherwise, the terminal may simply replace several paper-based processes with several disconnected digital ones.

The field-to-dashboard loop

A terminal operates in the yard, on the vessel, and at the gate—not only at a desk. Mobile workflows can help staff scan a VIN or barcode, record an inspection, confirm a placement, or update a vehicle’s status close to where the work happens.

Those updates can then feed dashboards showing yard occupancy, vessel activity, gate movements, and the progress of individual vehicles. The aim is not to add another screen for every task. It is to give different teams a dependable view of the same operation.

Role-based access and audit trails matter as well. They help establish who can update records and how changes can be reviewed when teams need to resolve a discrepancy.

Start with the handoffs, not the software menu

Before configuring a car-terminal TOS, it helps to map the points where information changes hands. Which event establishes a vehicle’s identity? Who confirms an inspection? When does a yard move become official? What must be known before a vehicle can be loaded or released?

Answers to those questions shape the data model, mobile tasks, integrations, and reports. They also prevent a container-first workflow from being carried over unchanged into a terminal where every vehicle must be handled as an individual asset.

WGS has been selected to apply this approach in a Terminal Operating System project for a car terminal in Indonesia. The planned work will adapt terminal-operations capabilities to vehicle handling, including VIN-based tracking, yard and mobile workflows, operational reporting, billing support, and relevant integrations.

The broader lesson is straightforward: a useful car-terminal TOS connects decisions across the vehicle journey, not just records the moves after they happen.
